KivoraFlow Accounting

A useful answer. A clearer next step.

Get answers about KivoraFlow, understand your workspace and prepare supported accounting work. Review invoices, expenses, credit notes, bank matches and payroll before confirming a change.

How do I create an invoice?

Get the steps for choosing a customer, adding line items, reviewing dates and VAT, and saving or issuing the document through Invoices.

Asking for guidance changes nothing. To create a document, use the separate reviewed draft workflow; issuing and emailing require another explicit review.

What is outstanding on my ZAR invoices?

Review the count and amount due on eligible non-draft ZAR invoices with an outstanding balance.

Archived, cancelled and written-off invoices are excluded. Foreign currencies are not mixed into the ZAR total.

Give me a CRM summary.

Get supported active-lead, open-opportunity and due-follow-up context within your permitted CRM scope.

Assigned-record restrictions and financial-value permissions still apply.

Create a customer called Moya Studio.

Prepare a customer-creation proposal with the supplied details, then review and explicitly confirm or cancel it.

Finance permission, plan capacity and validation checks still apply. The customer is created only after confirmation.

Help me prepare an invoice or quote.

Open the local draft workflow, choose the customer and complete the dates, items, prices and tax details. Review the calculated totals before confirming an unsent draft.

Required values are not invented. Saving a draft does not issue it, email it or collect payment.

Help me review and send this saved invoice.

Review the exact saved document, recipients, PDF and financial effects, then explicitly confirm issuance and the queued email.

Issuing a draft invoice posts its sales journal; a quote does not. Email failure does not undo issuance, and provider acceptance is not proof of inbox delivery.

Help me create a supplier.

Complete the supplier fields in the local workflow, review the proposed record and confirm it.

This creates one supplier only. It does not create a bill, send an email or make a payment.

Help me record an unpaid ZAR expense.

Enter the expense, accounts and VAT details, review the canonical amounts and journal effects, then confirm the expense entry.

Only the supported unpaid ZAR workflow is available. Confirmation posts its balanced expense journal; it does not pay the supplier.

Help me prepare and issue a credit note.

Select the eligible issued ZAR source invoice and exact source lines. Confirm a draft, then use a separate review to issue the saved credit note.

Issuance posts the supported journal after source, period and credit checks. It does not allocate the credit, refund money or email the note.

Help me match a bank transaction.

Select one posted bank transaction and one eligible existing ledger cash entry. Review their date, amount, direction and account evidence before confirming.

A match reconciles existing records. It does not create a new journal, import a bank feed or transfer money.

Help me prepare or finalise monthly payroll.

Use the reviewed full-calendar-month payroll workflow with selected employees and supported 2026/27 statutory profiles. Review creation and each submit, approve, reject, finalise or cancel step separately.

Required statutory reviews, frozen inputs and separate-approver rules still apply. Finalisation creates payslips and an accrual journal; it does not pay salaries or file returns.

Show me the accounting work queue.

Review supported checks for expense and credit-note posting evidence, unreconciled posted bank records and unfinished payroll in the current workspace.

These are read-only checks, not a full audit. They do not repair or change records.

What can I ask Kivora AI to do?

Ask product questions, review permission-aware workspace insights and an accounting work queue, or open a supported reviewed workflow. These cover customers, suppliers, invoice and quote drafts and sending, unpaid ZAR expenses, eligible credit notes, bank matching and supported monthly payroll. Every change requires explicit review and confirmation.

Can it create invoices, run payroll or file tax returns for me?

It can prepare invoice and quote drafts, then use a separate reviewed send workflow. Issuing a draft invoice posts its sales journal and queues the email. Supported monthly payroll can be created and progressed through separately confirmed stages, including finalisation with payslips and an accrual journal. It cannot transfer money, pay salaries or submit SARS returns. Tax settings and statutory requirements still need responsible professional review.

What happens before a change is made?

Complete the typed workflow fields and review the exact proposed records, amounts, recipients and financial effects. Explicit confirmation is required before each supported change. Current role, plan, capacity, accounting periods and source-record checks still apply; changed or expired proposals need a fresh review. If the result is uncertain, check its saved status before trying again. General chat has no executable tools.

Does Kivora AI see everything in the business?

No. Supported insights are scoped to the current workspace and role. Customer and invoice summaries require finance access, CRM can be restricted to assigned records or hide financial values, project totals require the appropriate workspace permission, and subscription details require billing access.

Can I upload an image, document or video to Kivora AI?

AI-chat image, document and video uploads are currently unavailable. Use text chat and the supported typed workflows. Kivora AI does not read an unprovided file or turn an upload into an authorised accounting action. Separate product import and attachment screens have their own supported formats and controls.

How should I handle confidential information?

General chat may send your current message and limited product context to OpenAI. Saved conversation history, workspace records and typed accounting workflow fields are not added to that provider request. Avoid passwords, full card details and unnecessary sensitive information in free-text chat. Normal workspace access controls still apply.

How do I get started, and is there a separate price?

Sign in to your workspace and open Kivora AI. Available insights and workflows follow your plan, permissions, required setup and applicable request limits. Check the live Pricing and Subscription information for your package and its current inclusions and limits.
